RPS Online system enhancements

Coming Fall 2025—the Real Property System Online (RPS Online), New York State’s first Web-based system for assessment administration.

When your municipality converts from RPSV4 to the upcoming Real Property System Online (RPS Online), you’ll notice many system enhancements. Many are the results of your feedback. If you’ve provided feedback, we thank you. It’s a crucial component to ensure we understand and meet your needs as a user and local official. System enhancements

Property description

choose from expanded options for ownership type
use the separate designation for waterfront
include a neighborhood code and zoning code at the parcel level
designate a hamlet or crossroads

Notes

enter notes and page-specific comments
categorize notes, which are no longer specific to roll years
find the author and timestamp on notes

Data collection

include findings in the designated data collection page
enter data collection details on a single screen for a parcel
track the field review of a parcel for the purpose of data collection
all visits to a property are visible from any roll year
no limitation on deleting or editing data collection records

Building permits

use one of the expanded options to identify the purpose of a permit
flag permits for assessor review
select and use specific building permit data for use in reporting
run report of permits requiring assessor review
track field visits on a designated page

Exemptions

select from clear, four-digit exemption definition
maintain only those exemptions that are specific to the locality
search for exemptions by code or description
when adding exemptions to a parcel, choose from a list that is only relevant to the locality
enter follow-up information
experience improved statewide consistency as ORPTS maintains the parameters for nonlocal option exemptions
associate an exemption to a specific owner
allocate an exemption to a defined PILOT
rely on the system-automated determinations for applicable exemption codes for alternative veterans and cold war exemptions based on service dates
generate batch renewal letters
automatically use residential percentage instead of rekeying for each exemption

Payment in lieu of taxes (PILOT)

access separate functions to maintain parcel PILOTs and PILOT agreements
allocate a PILOT to exemptions

access pending work (splits, merges, and sales)

Advanced search

use expanded search criteria
filter for multiple conditions at once
search multiple municipalities at once (as long as permissions are provided)

Owner fields

select preferred contact method
enter phone number and email address
define common owners and designate an owner as a common owner

Assessments

ensure assessment changes are balanced before submitting
designate specific comments to display at the parcel level on change of assessment notices

retired the use of the PRN file format; no reports will be produced using this format
will be produced in PDF file format
options available to produce reports as a CSV file and extract data
will be saved and accessible through RPS Online
options available to retain local copies
optimized formatting and text
improved image and document management including enhanced reporting options
integrated Freedom of Information (FOIL) functionality and more options to comply with requests
